It’s a large portion of your budget, sets the tone for the day … and it can also be an incredibly overwhelming process. When you find a space you’re interested in, start with answering these questions:
1. Can I afford this venue?
2. Is this venue available on the date (or month, or time of year) that I want?
3. Does this venue’s capacity fit my estimated guest list?
4. Does this venue’s space fit my needs?
5. Does this venue have any catering restrictions?
6. Does this venue fit your general vibe?
7. Is this venue all-inclusive or solo rental space?
Follow these tips:
Visualize the Experience …
Think about what type of experience you’re trying to have. Love being outdoors? If that’s the case, an industrial or ballroom might not be the best fit for you. Striving for Instagramable photos? A historical location could help create the buzz you crave.
Once you have an idea of what type of location will make your day magical, create a rough guest list of attendees. The worst thing is falling in love with a location that doesn’t accommodate all your needs.
TIP: Plan more than year in advance if you want a specific date. If you have less than 12 months, pick 3-5 dates you would be happy with and see who matches up.
The “B” Word … Budget!
Next you need to create your wedding budget. How much can you spend on a venue? Set up a Venue spreadsheet to remember all the information. You want to narrow it down so you are looking right in your sweet spot. Remember the experience you dreamed of and plan accordingly. Consider all-inclusive versos a blank slate.
TIP: For non-inclusive venues, hire a wedding planner to make sure all of your deliverables (tables, chairs, rentals etc.) are on schedule and set up correctly!
To Bring - or not to Bring - Your own Vendors …
Most inclusive venues will have their own catering, baker, planner and sometimes even florist. Most couples today go with a venue that offers the event space and rentals, then customize their wedding from there. For instance - they’ll choose their own catering, florals, photographer, and often times bring in external decor. It truly just comes down to how much personalization you want in your wedding day.
Initiate Weather Back Up Plan …
Concerns about the weather can definitely be a big factor in choosing a wedding venue. This is surprisingly overlooked by couples when they are booking. Some venues will offer a rain plan option such as a barn, reception space or a tent. Whatever the case, make sure you ask when touring so you don’t pay a deposit on a function space that can’t accommodate a plan for your guest count.
